About the Role

This is a high-impact, fast-paced support role within the Private Investments team. You will be the central point of coordination for a geographically diverse team of senior investment professionals. Your responsibilities will span across complex calendar management for senior stakeholders, organizing high-level board meetings and leadership conferences, and managing intricate travel arrangements across multiple countries—often involving visa applications, flight bookings, and accommodation planning.

You’ll also be responsible for preparing meeting materials, maintaining accurate records and databases, and ensuring timely submission of expense claims through manual platforms that require a good grasp of fund allocation processes. The role demands a high level of discretion, attention to detail, and the ability to manage multiple priorities simultaneously. You’ll be expected to liaise confidently with internal and external stakeholders, including investors and vendors, and collaborate closely with other administrative staff to ensure seamless support across the organization.

What We’ll Like to See in You

You bring over a decade of experience in a team secretary or similar role, ideally within financial services, professional services, or investment environments. You’re proactive, polished, eloquent and highly organized, with strong stakeholder management skills and the ability to handle high volumes of coordination and travel logistics. Familiarity with manual claims systems and platforms like Oracle Finance is a plus. Your high EQ, collaborative mindset, and ability to thrive in a fast-paced setting will make you a great fit for the team. A background in client-facing roles or service industries (e.g., ex cabin crew) is also valued for the presentation and interpersonal finesse it brings.
